Having good metadata on assets in MAX+ is the single most important thing you must do.

Without metadata, MAX+ is a completely useless system.



WHAT IS METADATA

Metadata is "information about an item".


For this photo, we see a river, hills, green grass, trees, rocks and clouds in the blue sky. That is some of the metadata about this photo.

The human eye can look at it and understand what it is seeing.

A computer isn't that smart. It "sees" the above photo as:


We have to tell the computer what is in the photo or video so the computer can understand.



WHY METADATA IS VITALLY IMPORTANT


Metadata is the only way for MAX+'s search engine can find an asset. A user can type the word "Bible" in to the search box, but if no one has added that metadata to an asset, nothing will be found.

The search engine's ability to retrieve an asset is only as good as your effort in adding metadata concisely and accurately.

Therefore, every single asset uploaded to MAX+ must be accompanied by a complete set of metadata.



COMPASSION'S METADATA

Compassion has pre-define metadata fields for all assets in MAX+. Below are descriptions of each metadata field.


ASSET INFORMATION
* TITLE This is a required field. A short description of the asset, usually 3 to 5 words. Does not need to be a complete sentence.
* DESCRIPTION This is a required field. A Description is a two to four sentence description of the asset. For a photo or video, describe what's happening. For a story, describe what it's about. For other media assets, describe what it is.

NOTE: This is also MAX+'s "keyword" field. Include all the keywords here that you might want to include.

What to Include

Things and actions
In the first sentence, write the most important things and action first, including names (if known).

Prominently featured details
Include any additional details relevant to the asset.

Secondary details
Include further details that make an asset unique or compelling.

What to Exclude

Excessive Description
Don't include extraneous information that is not central to the asset and is not likely to enhance the search engine's ability to retrieve it.

Extrapolation
Don't include ideas that may or may not be inferred or implied by the image.

Literary Wording/Slang*
Keep the language simple and straightforward. Avoid overly literary and metaphorical language or language that is only relevant to singular cultures.
CREATOR The name of the person who created the asset. For a photo or video, it's the photographer; for graphic design, it's the artist; for edited videos, it's the editor; etc.
COPYRIGHT OWNER This field will always be Compassion International. If someone else owns the copyright on an asset, it should not be uploaded to MAX+. For exceptions, see the MAX+ Administrator.
COPYRIGHT YEAR The year the asset was created, not the year it was uploaded.
* ORIGINATING LIBRARY This is a required field. The office that commissioned the creation of the asset. Choose from drop-down menu.
NOTES Any extra information you'd like to add.
* ASSET TYPE This is a required field. The type of asset - photo, video, text, etc. Choose from drop-down menu.
ASSET TOPIC The topic of the asset - story, transcript, texture/background, ICP building, etc. Choose from drop-down menu - if applicable.
ASSET COMPOSITION The composition of what's happening in the photo or video - close-up, group, eye contact, etc. Choose from drop-down menu - if applicable. Select as many as needed.

ASSET SETTING The setting of the photo or video - home, neighborhood, project, rural, urban, etc. Choose from drop-down menu - if applicable. Select as many as needed.
ASSET EMOTION The emotion of the people in the photo or video - happy, sad, solemn, unengaged, etc. Choose from drop-down menu - if applicable. Select as many as needed.
RAW VIDEO FOOTAGE Identifying raw video an interview or b-roll. Choose from drop-down menu - if applicable.
RAW VIDEO FORMAT Identifying the original format of the raw video - SD shot on tape, HD shot tapeless, HDV, etc. This is the format an edited can expect to receive the video in if they request a copy for editing. Choose from drop-down menu - if applicable.



PERSON(S) INFORMATION
FULL NAME The full name(s) of the person(s) in the asset - if applicable. If the person is a Compassion-assisted child, enter their full name as it is spelled in Compass.
COMMON NAME The name the person or people go by (the first name, given name, forename or nickname). See: http://en.wikipedia.org/wiki/Given_name
AGE Age of person(s) when the asset was created. This is extremely important for Compassion-assisted children. If the person(s) are adults, this field can be left blank.
AGE RANGE The age range of the person or people in the asset - infant, toddler, child, adult, etc. Always fill in this information is there are people in the photo or video. Choose from drop-down menu - if applicable.
GENDER The gender of the person or people in the asset - male, female. Choose from drop-down menu - if applicable.



COMPASSION INFORMATION
REGION The Field Region where the asset is from. Choose from drop-down menu - if applicable.
FIELD COUNTRY The Field Country where the asset is from. Choose from drop-down menu - if applicable.
CORE PROGRAM The Core Program the asset is related to - CSP, CDSP, LDP, CIV. Choose from drop-down menu - if applicable. Select as many as needed.
HOT TOPIC The "hot topic" the asset is related to - Malaria, Food Insecurity, HIV/AIDS, Crisis/Disaster, Special Needs, etc. Choose from drop-down menu - if applicable.
CSP PROJECT NUMBER The CSP number of the project - if applicable. CSP project numbers are written with a space between the country code and the project number. CSP project numbers are only 5 characters long. For projects 1 through 9, include "CS" after the space. For projects 10 through 99, include just a "C". CDSP PROJECT NUMBER The CDSP project number - if applicable. CDSP project numbers are written with a space between the country code and the project number.
LDP CHILD NUMBER The LDP student number - if applicable. LDP student numbers are written with a dash between the country and the 980, and another dash between the 980 and the child number. TRIP TYPE The type of trip on which the assets were collected - Vision Tour, "It Works" trip, Exec. Team Travel, Sponsor Tour, etc. Choose from drop-down menu - if applicable.
