Workflow option 4: The librarian uploads multiple assets to MAX+ (Part 1), bulk tags them with metadata, then saves the assets in a Light Box (Part 2). The librarian "shares" the Light Box with co-worker who then adds detailed metadata to all assets (Part 3).



You only have to do this step once for each computer you're working on

In MAX+, go to the left-side menu and click “Uploads”. In the secondary menu, then click “Desktop Upload Tool”.

On the Desktop Upload Tool page, click the appropriate link to install the app on your computer.

Launch the app on your computer to configure it. The configuration information is on Desktop Upload Tool page in MAX+.

NOTE: This app currently only works on Windows computers. It does not work on a Macintosh.

PART 1

Organize the files you want to upload to MAX+.
  • Centralize them all to a single location. (we recommend having all files on your desktop. Uploads will work from other locations too [network drive, DVD, thumb drive], but the upload process will be slower)
  • Fix file names (if necessary)
  • Gather metadata (names, child numbers, locations, etc.)
Launch the Upload Tool app. In your start menu, it will be in a folder named "Third Light".

The configuration information you entered when you set up the app should be remembered and the tool will automatically sign into your account in MAX+.

Once the app is open, a window will display on your screen.
  • The upper-left side of the window represents the files on your computer.
  • The upper-right side of the window represents the files in MAX+.
  • The lower half of the window will display the status of files being uploaded.


In the upper-left window, navigate to the assets you want to upload by clicking on the tiny plus sign next to the folders.
  • To select a single file, click once on it
  • To select more than one file, click once on the first one, then hold down SHIFT key and click once on the last one.
  • To upload an entire folder full of assets, click once on the folder.
Now, in the upper-right window, navigate to where you want the assets to be in MAX+ by clicking the tiny plus sign next to the folders.

With your mouse, drag the files from the upper-left window over to the appropriate folder in the upper-right window.


At the bottom of the window, you'll now see the status of all the files are they are uploading to MAX+.

Once your files have finished uploading, you are done with this step and can close the app. Do not close the app until all of the uploads are finished!

PART 2

Sign in to MAX+.

In the left column, directly under the “Message from MAX+” box, you will now see a message about your uploads. Click the “CLICK HERE” link:


On the next screen, you’ll see the name of the folder where your assets were just uploaded. It is a link. Click on the link.

On the next screen, wait for all your assets to load. Depending on the number of assets you uploaded, this could take several minutes.

1. Once all of the assets have loaded, click the SELECT ALL.
2. After a check mark appears under each thumbnail, click EDIT.


One the next screen, bulk add as much information as possible. For each field, select the option REPLACE from the drop down menu.
  • Title – enter something very generic
  • Description – enter something very generic
  • Creator – enter the photographer’s or videographer’s name
  • Copyright Year – enter the year the asset was created
  • Copyright Owner – enter “COMPASSION INTERNATIONAL”
  • Asset Type – select the correct option from the drop down menu
If applicable, also add:
  • Name(s), age, age range, gender
  • Region / Country
  • Core program
  • Child numbers and/or Project numbers
When you’re finished, scroll to the bottom of the page and click SAVE.

Next, go to the home page of MAX+.

Navigate to where you just uploaded your new untagged assets, so that the assets are displayed on the screen(s).
  • Go to the left side of the screen to the "lightbox" area.
  • Click the small downward pointing arrow to open up a menu.
  • From that menu, select New Lightbox.

  • In the new window that will pop up, give a name to the lightbox.
  • Click CREATE.
Now go back to your newly uploaded assets.

In the right-side menu, click SELECT ALL, then click ADD TO LIGHTBOX.

All of the assets on the screen have now been added tot he lightbox you just created. From this lightbox, someone else can now add metadata to each individual asset. But before they can do that, you must "share" the lightbox with them.
  • Go to the left side of the screen to the "lightbox" area.
  • Click the small downward pointing arrow to open up a menu.
  • From that menu, select Share.
  • Type in the person's MAX+ screen name to Share the lightbox with them.
That person will automatically receive an email that the lightbox has been shared with them.


PART 3

In MAX+, go to the “lightbox” area (left side of the screen) and click the tiny downward pointing arrow.



Select a lighbox from the list by clicking on it.

Wait for a moment for that project to load in the “lightbox” area.

Once it has loaded, click “OPEN LIGHTBOX” at the bottom of the lightbox.


All of the media assets in that lightbox will now show on the screen.

To tag media assets in the lightbox:

Find the first asset. Click the tiny icon of a notepad (the icon will not appear until you put your mouse over the asset).



On the next screen, there are only 5 fields you need to type in:
  • TITLE
  • DESCRIPTION
  • ASSET COMPOSITION
  • ASSET SETTING
  • ASSET EMOTION
Ignore all other fields!!!! Do not edit anything in them.

Exception: Scroll down and look at the COMMON NAME field. That will give you the name of the person(s) in the photo.

When finished typing in the data for an asset, click “SAVE AND NEXT”.

There will be three “SAVE AND NEXT” buttons on the page. Click the one that is in the ASSET INFORMATION section (the section where you just typed the information)!

By clicking “SAVE AND NEXT”, you’ll now be taken to the next asset where you can type in the new information.

When you have finished tagging all the photos in a project, go back to the lightbox area and click the tiny downward pointing arrow again.

Click the EDIT option.


On the next screen in the LIGHTBOX NAME box, add the word DONE to the front of the name and click UPDATE LIGHTBOX.


The finished lightbox will now go back to the person whom assigned it to you. It will also remain in your list of lightboxes until they delete it.
You can now start adding metadata to assets in your next lightbox!
